Managing Prisoner Check Module
What it is
Prisoner Check adds detainee / cell checks on top of your Holding Facility (Jail) locations. Which cells appear depends on Jail locations: each location must allow Prisoner Checks so it shows up for checks.
Two ways agencies use it
- Checks only — Record cell checks without the full intake/release workflow (no detainee intake screen in that mode).
- Intake / Release + checks — Intake and release with detainee information and ongoing cell checks.
Your agency’s 911 Tech administrator turns modules on or off and sets options like Use Intake / Release in Agency Configs. Staff management screens below assume Prisoner Check is already enabled.
Getting to management
- Sign in with Jail Manager and/or Prisoner Check Manager (admins included).
- Open Admin Tools (from your account menu).
- Choose your agency’s Prisoner Check settings link (the label may match your custom module name).
You land in a settings area with a left-hand menu. Use that menu to switch pages; you don’t need to go back to Admin Tools each time.
What each menu item is for

Master switches vs. day-to-day settings
- Agency Configs (administrators): Turning the module on, Intake / Release, display names, button size, Allow Photos, custom templates (if offered), and similar global switches.
- Prisoner Check → Settings (this menu): How the module behaves for your agency day to day—fields, dates, workflow.

The Prisoner Check enhancement to the Holding Facility (Jail) Module allows your agency to document detainee checks of your holding facility cells.
The module has two options.
- Document Cell Checks Only - No Intake/Release or Names.
- Intake / Release with Prisoner Names and other data collection & Conduct Cell Checks.
The cells available for the Prisoner Check module are based upon the locations you created in the Holding Facility / Jail Module. Each location must be toggled YES for Prisoner Checks, to be visible in the Prisoner Check Module.

No Intake/Release Method (Cell Names Only)
Managing the Method: Document Cell Checks Only - No Intake/Release or Names.
Management of the Prisoner Check module is done by persons with Jail Manager and/or Prisoner Check Manager permissions.
For agencies using the Document Cell Checks Only - No Intake/Release or Names method, using the Holding Facility (Jail) sub-menu, select Locations or Prisoner Check Choices.

Managing Prisoner Check Choices
Click Choices to see your agencies list of cell check status choices.

Intake / Release Method
Managing the Method: Intake / Release with Prisoner Names and other data & Conduct Cell Checks.
For agencies using the Intake/Release with Prisoner Names and other data collection & Conduct Cell Checks method, using Prisoner Check sub-menu, select one of the available options.

The sub-navigation (Management) buttons include:

Charges
Click Charges to see your agencies list of cell check status choices.
Important: the same Charges are used across the Prisoner Check AND Use of Force Modules

Each agency can customize their own charges. Charges generally follow one of two ideas: Specific such as Burglary, or Generic such as Felony / Misdemeanor.
Choices

Choices are the available options you can select while conducting Prisoner Checks.
The Default Release & Move Choices are hidden from the list of choices by default. If you want them displayed, (which we do not recommend) see the section below on Settings.
Detention Centers
State of Illinois Detention Centers - Can be customized to any state.
Parent
Heading Option for Charges - helps to separate out the charges under a parent heading.
Release Codes
State of Illinois Release Codes - Can be customized to any state.
Expunge
Click Expunge to Expunge a record

Frequency

Frequency is used to set cell check time limits and display agency customizable status badges.
Each Frequency has 3 main variables:
- Name - The name of the frequency. it is helpful to include the number of minutes in the name.
- Minutes - The max number of minutes before the check is considered overdue.
- Badge Text - Badges that can appear on occupied cells. Examples are Juvenile, or Suicide Watch.
Prisoner Check Main Agency Configurations
System Admins can set the main configuration settings for the prisoner check module from the tab:
Your Name => Admin Tools => Prisoner Check
From here you can activate or deactivate the module and main variables The reminder of the settings are located on the modules settings page accessible via the sub menu settings button.
