Training Request Management - Kanban Board

The Training Requests Kanban Board provides a visual, drag-and-drop interface for managing training requests. Instead of a traditional table view, requests are displayed as cards organized into columns by status.


Accessing the Kanban Board

Navigate to Training → Training Requests Kanban from the main menu, or use the training sub-menu if you're already in the Training module.

Required Permissions: Training Manager, View-Training, or Administrator


Understanding the Board Layout

The board displays five columns representing request statuses:

Column Color Description
Workflow Indigo Requests currently moving through the approval workflow
Approved Light Blue Requests that have been approved
Disapproved Red Requests that were denied
Complete Green Requests that have been fulfilled
Canceled Gray Requests that were canceled

Each column header shows the status name and a count of cards in that column.


Understanding Request Cards

Each card displays:

  • Request Number — Click to view full request details
  • Bell Icon — Green bell badge appears if the request requires YOUR action
  • Employee Name — The person who submitted the request
  • Course Name — The training course requested (truncated if long)
  • Next Approver — Shows who needs to act on the request (Workflow status only)
  • Date — When the request was created
  • Sub-Status Tag — Optional tag for additional categorization

Cards requiring your action are highlighted with a green left border and light green background.


Moving Requests Between Statuses (Drag and Drop)

To change a request's status:

  1. Click and hold a card
  2. Drag it to the desired status column
  3. Release the card — a confirmation modal will appear
  4. Add an optional comment (appears in the notification email only)
  5. Choose whether to notify the employee via email
  6. Optionally select additional people to notify
  7. Click Update Status to confirm

If you cancel the modal, the card returns to its original column.

Special Case: Moving to Workflow

When dragging a card TO the Workflow column (from any other status), you'll see the Re-Route to Workflow modal instead. This requires you to select who should receive the request next.


Re-Routing Requests

For requests in the Workflow column, you can change who should act on the request next without changing the status.

  1. Find the teal turn arrow icon (◇→) next to the current approver's name on the card
  2. Click the icon
  3. Select the new person from the dropdown
  4. Add an optional comment
  5. Choose notification options
  6. Click Re-Route Request

This is useful when someone is out of office or the request was sent to the wrong person.


Updating Sub-Statuses

Sub-statuses provide additional categorization without changing the main status (e.g., "Waiting for Funding," "Scheduled," "Pending Supervisor Review").

To change a sub-status:

  1. Find the sub-status tag or pencil icon in the bottom-right of the card
  2. Click it to open the Sub-Status modal
  3. Select the new sub-status from the dropdown (or "None" to clear it)
  4. Add an optional comment
  5. Choose notification options
  6. Click Update Sub Status


Filtering the Board

My Action Needed Filter

Toggle the "My Action Needed" switch to show only requests where YOU are the next approver. The badge next to this toggle shows how many requests need your attention.

Search Filter

Type in the search box to filter cards by:

  • Request number
  • Employee name
  • Course name

Click the X to clear the search.

Date Range Filter

Use the date dropdown to limit which requests appear:

  • Last 365 Days (default)
  • Last 180 Days
  • Last 90 Days
  • Last 30 Days
  • This Year
  • Last Year
  • All Time

Employee Filter

Select a specific employee to see only their requests. Use the searchable dropdown to find the employee quickly.


Email Notifications

When you change a status, sub-status, or re-route a request, the system can send email notifications:

  • Advise Employee — Checked by default. Sends an email to the requesting employee.
  • Comment — Optional text that appears in the email body (not saved to the request record).
  • Also Send To — Select additional people to receive the notification. Hold Ctrl (Windows) or Cmd (Mac) to select multiple people.

Tips for Efficient Use

  1. Start your day by toggling "My Action Needed" to see what requires your attention
  2. Use date filters to focus on recent requests and keep the board manageable
  3. Batch your work by processing all cards in one column before moving to another
  4. Use sub-statuses to track progress without cluttering the main status columns
  5. Click card titles to open the full request view when you need more details
