Recurring Maintenance Overview

Recurring Maintenance helps you track and manage scheduled maintenance tasks across multiple modules in 911 Tech. Set up maintenance schedules based on date intervals, mileage, or hours, and receive automatic reminders when maintenance is due.

Supported Modules

Recurring Maintenance is available for the following modules:

  • Vehicles - Oil changes, inspections, tire rotations, etc.
  • Buildings - HVAC service, fire extinguisher inspections, etc.
  • AEDs - Battery replacements, pad expirations, etc.
  • Equipment - Calibrations, certifications, etc.
  • Tasers - Cartridge replacements, battery checks, etc.
  • Firearms - Armorer inspections, cleaning schedules, etc.
  • Tanks - Hydrostatic testing, valve inspections, etc.
  • Computers - Software updates, hardware maintenance, etc.
  • Assets - General asset maintenance schedules
  • Cameras - Lens cleaning, firmware updates, etc.

Note: Each module must be enabled by your administrator before recurring maintenance is available for that module.

How It Works

  1. Set Up a Schedule - Add a recurring maintenance schedule to any item (vehicle, building, equipment, etc.)
  2. Choose a Trigger - Select what triggers the reminder: a specific date interval, mileage reached, or hours used
  3. Automatic Reminders - When the trigger condition is met, a reminder is automatically created
  4. Take Action - View the reminder, create a work order if needed, and mark it complete
  5. Repeat - The next reminder is automatically scheduled based on your interval settings

Trigger Types

Date-Based Triggers

Set maintenance to occur every X days. For example:

  • Oil change every 90 days
  • Building inspection every 365 days
  • AED battery check every 180 days

Mileage-Based Triggers (Vehicles Only)

Set maintenance to occur at specific mileage intervals. For example:

  • Oil change every 5,000 miles
  • Tire rotation every 7,500 miles
  • Transmission service every 30,000 miles

Hours-Based Triggers

Set maintenance based on usage hours. For example:

  • Generator service every 500 hours
  • Equipment calibration every 1,000 hours

Tip: You can combine multiple triggers on the same maintenance item. For example, an oil change due every 90 days OR every 5,000 miles, whichever comes first.

Accessing Recurring Maintenance

There are several ways to access the recurring maintenance system:

From the Dashboard

Click the Recurring Maintenance widget on your dashboard to see upcoming and overdue reminders.

From the Navigation Menu

Navigate to Manage > Recurring Maintenance Reminders to access the full list, kanban, or calendar views.

From an Item's View Page

When viewing any supported item (vehicle, building, etc.), scroll to the Recurring Maintenance section to see and manage maintenance schedules for that specific item.

Dashboard Widget Settings

Users can choose whether to display Recurring Maintenance reminders on their dashboard.


Enabling/Disabling the Dashboard Widget

  1. Click your name in the top right corner
  2. Select My Settings (or User Settings)
  3. Find Recurring Maintenance in the Dashboard Widgets section
  4. Check View Reminders on Dashboard to show the widget
  5. Uncheck to hide the widget
  6. Click Save

When enabled, the dashboard will display:

  • Upcoming maintenance reminders
  • Overdue maintenance items
  • Quick counts by status

Tip: Even if you hide the dashboard widget, you can still access recurring maintenance from the Manage menu.

Views Available

  • List View - Traditional table view with sorting and filtering
  • Kanban View - Visual board organized by status columns
  • Calendar View - See reminders on a monthly/weekly calendar

Required Permissions

To manage recurring maintenance, users need one of the following permissions:

  • Recurring-Maintenance permission group
  • Module Manager role (e.g., Vehicle Manager, Equipment Manager)
  • Administrator access
