Managing Maintenance Types

Maintenance Types are the categories of maintenance that can be scheduled (e.g., "Oil Change", "Inspection", "Battery Check"). This article explains how administrators can manage these types.

Accessing Maintenance Types

There are two ways to access the Maintenance Types management page:

From Recurring Maintenance

  1. Go to Manage > Recurring Maintenance Reminders
  2. Click the Settings gear icon in the top right
  3. Select Manage Maintenance Types

From Module Settings

  1. Go to the settings page for any module (e.g., Vehicle Settings)
  2. Look for Recurring Maintenance Types in the navigation

Viewing Maintenance Types

The Maintenance Types page shows all configured types in a sortable list:

  • Type Name - The name displayed when selecting maintenance type
  • Modules - Which modules this type is available for (shown as checkboxes)
  • Sort Order - Drag and drop to reorder how types appear in dropdowns

Adding a New Maintenance Type

  1. Click the Add New button
  2. Enter the Type Name (e.g., "Oil Change", "Annual Inspection")
  3. Select which Modules this type applies to:
    • Vehicles
    • Buildings
    • AEDs
    • Equipment
    • Tasers
    • Firearms
    • Tanks
    • Computers
    • Assets
    • Cameras
  4. Click Save

Tip: You can select multiple modules for types that apply across different categories. For example, "Annual Inspection" might apply to Vehicles, Buildings, and Equipment.

Editing a Maintenance Type

  1. Find the type in the list
  2. Click the Edit button
  3. Make your changes to the name or module assignments
  4. Click Save

Deleting a Maintenance Type

  1. Find the type in the list
  2. Click the Delete button
  3. Confirm the deletion

Warning: Deleting a maintenance type will not delete existing schedules or reminders that use that type. However, users will no longer be able to create new schedules with that type.

Reordering Maintenance Types

The order of maintenance types determines how they appear in dropdown menus throughout the system.

  1. Hover over a maintenance type row
  2. Click and drag the row to the desired position
  3. The new order is saved automatically

Tip: Put your most commonly used maintenance types at the top of the list for easier access.

Module-Specific Views

You can also manage maintenance types from within each module's settings. When accessed this way:

  • Only types assigned to that module are shown
  • New types created here are automatically assigned to that module

To access module-specific maintenance types:

  1. Go to the module's settings page (e.g., Manage > Vehicles > Settings)
  2. Click Recurring Maintenance Types in the navigation

Best Practices

Use Clear, Descriptive Names

  • ✅ "Oil Change - Full Synthetic"
  • ✅ "Annual Fire Extinguisher Inspection"
  • ❌ "Maint 1"
  • ❌ "Check"

Be Consistent

Use consistent naming conventions across your organization. Decide on a format and stick to it.

Don't Over-Categorize

Create types that are meaningful and commonly used. Too many types can make the system confusing.

Review Periodically

Periodically review your maintenance types to remove unused ones and add new ones as needs change.
