Recurring Maintenance Views: List, Kanban & Calendar
911 Tech provides three different views for managing your recurring maintenance reminders. Each view offers a different way to visualize and interact with your maintenance tasks.
Accessing the Views
- Navigate to Manage > Recurring Maintenance Reminders
- Use the view toggle buttons in the top right corner:
- List - Table view
- Kanban - Board view
- Calendar - Calendar view
List View
The List View displays reminders in a traditional table format with powerful sorting and filtering capabilities.
Features
- Sortable Columns - Click any column header to sort
- Search - Use the search box to filter results
- Export - Print or export to CSV/Excel
- Quick Filters - Filter by module, department, status, and date range
Filtering Options
- Date Range - Last 30 days, Last 90 days, This Year, All Time, etc.
- Module - Filter to specific modules (Vehicles, Equipment, etc.)
- Status - Open Only, specific status, or All
- Department - Filter by department (if you have access to multiple)
Table Columns
- Date - When the reminder is due (click to view details)
- Status - Current status (Open, In Progress, On Hold, Closed)
- Sub-Status - Optional sub-status tag
- Module - Which module the item belongs to
- Item - The specific item (vehicle number, equipment name, etc.)
- Type - The maintenance type
- Interval - How often the maintenance recurs
- Department - Which department owns the item
Actions
- Click the Date button to open the reminder details page
- Use Print to print the current filtered view
- Use Export to download as CSV or Excel
Kanban View
The Kanban View displays reminders as cards organized into status columns, making it easy to track progress visually.
Status Columns
- Open (Green) - New reminders awaiting action
- In Progress (Blue) - Reminders currently being worked on
- On Hold (Yellow) - Reminders temporarily paused
- Closed (Gray) - Completed reminders
Note: Your administrator may have customized these status names.
Moving Cards
Drag and drop cards between columns to change their status:
- Click and hold on a card
- Drag it to the desired column
- Release to drop
When moving a card, you may be prompted to add a note explaining the status change.
Card Information
Each card displays:
- Maintenance Type - The type of maintenance
- Item - The item name/number
- Module - Which module (shown as an icon)
- Due Date - When the maintenance is due
- Sub-Status - Optional tag for additional categorization
Sub-Status Tags
Click the sub-status badge on any card to set or change its sub-status:
- Click the badge (shows "Set Status" if none is set)
- Select a sub-status from the popup
- Select "None" to remove the sub-status
Filtering
- Search - Type in the search box to filter cards by any text
- Module Filter - Show only cards from specific modules
- Status Filter - Show only cards with specific statuses
Overdue Indicators
Cards that are past their due date are highlighted to help you prioritize.
Calendar View
The Calendar View displays reminders on a traditional calendar, making it easy to see when maintenance is scheduled.
Calendar Features
- Month View - See all reminders for the month
- Week View - Focus on a single week
- List View - See reminders in a list format
- Navigation - Use arrows to move between months/weeks
- Today Button - Jump back to today's date
Color Coding
Events are color-coded by status:
- Green - Open
- Blue - In Progress
- Yellow - On Hold
- Gray - Closed
Viewing Details
Click any event on the calendar to see:
- Module and Item
- Maintenance Type
- Interval
- Department
- Current Status and Sub-Status
- Link to view full details
Filtering
- Module Filter - Show only reminders from specific modules
- Status Filter - Active Only, All Statuses, or specific status
Tooltips
Hover over any event to see a quick preview of the reminder details.
Choosing the Right View

Settings
Click the Settings gear icon (available on all views) to access:
- Manage Maintenance Types - Add/edit maintenance type options
- Manage Schedules - View all recurring maintenance schedules
- Manage Sub-Statuses - Customize sub-status options
- Email Subscriptions - Manage reminder email notifications
