Recurring Maintenance Reports

911 Tech includes reports to help you analyze and track recurring maintenance across your organization. These reports are available in the Reports section.

Accessing Reports

  1. Navigate to Reports from the main menu
  2. Click the Recurring Maintenance tab
  3. Select the report you want to run

Available Reports

Recurring Maintenance - All

This report shows all recurring maintenance schedules in the system.

What It Shows:

  • Every maintenance schedule configured on every item
  • The module and item each schedule is attached to
  • Trigger settings (date interval, mileage, hours)
  • Current status of each schedule

Use Cases:

  • Audit all maintenance schedules in the system
  • Find schedules that may need to be updated
  • Review maintenance intervals across the fleet/inventory

Filters:

  • Department - Filter to specific departments
  • Module - Filter to specific modules (Vehicles, Equipment, etc.)

Recurring Maintenance - Reminders

This report shows maintenance reminders (the actual due items created from schedules).

What It Shows:

  • All reminders that have been generated
  • Due dates and trigger details
  • Current status and sub-status
  • Module, item, and maintenance type

Use Cases:

  • See what maintenance is due or overdue
  • Track completion rates
  • Review maintenance history

Filters:

  • Date Range - Last 30 days, Last 90 days, This Year, All Time, etc.
  • Department - Filter to specific departments
  • Module - Filter to specific modules
  • Status - Active Only, Closed Only, or All

Table Columns:

Column Description
Date When the reminder is/was due
Status Current status (Open, In Progress, On Hold, Closed)
Sub-Status Additional status tag if set
Module Which module (Vehicles, Equipment, etc.)
Item The specific item name/number
Type Maintenance type
Interval How often this maintenance recurs
Trigger What triggered the reminder
Details Trigger details (date, mileage, or hours)
Department Which department owns the item

Using the Reports

Filtering Data

  1. Select your filter options from the dropdowns at the top
  2. Click Modify to apply filters
  3. Click Reset to clear all filters

Sorting Data

  • Click any column header to sort by that column
  • Click again to reverse the sort order

Searching

  • Use the search box to filter results by any text
  • Search matches against all visible columns

Exporting Data

Click the export buttons to download the report:

  • Print - Open a print-friendly version
  • Copy - Copy data to clipboard
  • CSV - Download as comma-separated values
  • Excel - Download as Excel spreadsheet
  • PDF - Download as PDF document

Understanding Status in Reports

Status Column

Shows the current workflow status:

  • Open - Awaiting action
  • In Progress - Being worked on
  • On Hold - Temporarily paused
  • Closed - Completed

Active vs. Closed Filter

  • Active - Shows Open, In Progress, and On Hold (not Closed)
  • Active & Closed - Shows all reminders regardless of status
  • Closed - Shows only completed reminders

Tips for Using Reports

Finding Overdue Maintenance

  1. Go to Recurring Maintenance - Reminders
  2. Set Status to Active Only
  3. Sort by Date ascending (oldest first)
  4. Items at the top with past dates are overdue

Reviewing Completion History

  1. Go to Recurring Maintenance - Reminders
  2. Set Status to Closed
  3. Set Date Range to the period you want to review
  4. Export to Excel for further analysis

Auditing Maintenance Schedules

  1. Go to Recurring Maintenance - All
  2. Filter by Module if desired
  3. Review intervals to ensure they're appropriate
  4. Look for items without any maintenance schedules

Comparing Departments

  1. Run the report for each department separately
  2. Export each to Excel
  3. Compare metrics like number of reminders, completion rates, etc.

Report Permissions

To access recurring maintenance reports, users need:

  • Access to the Reports section
  • Recurring-Maintenance permission group, OR
  • A module manager role (Vehicle Manager, Equipment Manager, etc.), OR
  • Administrator access

Users will only see data for departments they have access to.
